The Protel Hotel Software is a property management system (PMS) designed to streamline and automate hotel operations. Through integration with Lightspeed Restaurant, Protel enables guest room billing and offers the possibility of a full revenue sharing between the platforms. To set up the Protel integration, you’ll need to create a Charge to Room payment method, complete account mapping, add your Protel references to Back Office, and send your ID table back to Protel.
To use the Protel integration, you’ll need a Protel account. If you haven’t created an account yet, visit Protel to get started.
Creating a Charge to Room payment method
Contact your Protel account manager to create the integration connection. Protel will then send you an email containing the IP address required for setting up the Charge to Room payment method.
- Log in to the Back Office with your Lightspeed Restaurant credentials.
- From the navigation menu, select Configuration > Settings > Payment methods.
- Select Add a payment method.
- For Payment method type, select Charge to Room from the drop-down menu. The payment method code will generate automatically.
- Enter the name of the payment method.
- For the PMS server, select Protel from the drop-down menu.
- Enter the Server address provided by Protel. This should be an IP address followed by a colon and a port number. For example: 192.168.192.10:5008.
- (Optional) Click the checkbox for Send every receipt to activate full revenue posting.
- Click Save.
Once you’ve finished creating a Charge to Room payment method, complete account mapping.
Mapping your accounts and creating an ID table spreadsheet
Account mapping allows Lightspeed and Protel to share information. To complete account mapping, you’ll need to create an ID table spreadsheet and assign values to your accounting groups, payment methods, and outlets.
Accounting groups must have the same reference to send data to the right place.
- Log in to your Google account.
- Create a spreadsheet.
- Separate the sheet into three sections: Accounting groups, Payment methods, and Outlets.
Accounting groups
- Create two columns: ID and Accounting group.
- Define a range for accounting groups. For example, Kitchen (100-199).
- Fill in the table by assigning IDs to each of your accounting groups.
- Create two columns: ID and Tax name.
- Fill in the table by assigning IDs to each of your VAT types.
Payment methods
- Create two columns: ID and Payment method.
- Define a range for payment methods. For example, Payment methods (200-299).
- Fill in the table by assigning IDs to each of your payment methods.
Outlet
- Create three columns: ID, Outlets, and Device configuration.
- Define a range for device configurations. For example, Device configuration (300-399).
- Fill in the table by assigning IDs to each of your outlets.
Once you’ve finished account mapping, add the Protel references in Back Office.
Adding Protel references in Back Office
Accounting groups
- Log in to the Back Office with your Lightspeed Restaurant credentials.
- From the navigation menu, select Menu management > Accounting groups.
- Click Edit next to the accounting group you’d like to add the Protel reference to.
- In Protel reference, type in the relevant ID.
- Click Save.
- Repeat steps 2-5 for all relevant accounting groups.
Payment methods
- From the navigation menu, select Configuration > Settings > Payment methods.
- Click the name of the payment method you’d like to add the Protel reference to.
- In Protel reference, type in the relevant ID.
- Click Save.
- Repeat steps 1-4 for all relevant POS configurations.
Outlets
- From the navigation menu, select Configuration > Configurations.
- Click the name of the POS configuration you’d like to add the Protel reference to.
- In Protel reference, type in the relevant ID.
- Click Save.
- Repeat steps 1-4 for all relevant POS configurations.
Once you’ve finished adding Protel references in Back Office, save and send your ID table spreadsheet to Protel. From there, your Protel account manager will finish setting up the integration.
