Mandatory POS Registration [Germany]

Businesses using electronic register systems, such as a POS, must report them to the tax offices in Germany.

Requirements

In order to access the Back Office POS registration form, the following prerequisites need to be met:

  • The business location needs to be in Germany
  • The business location needs to be live
  • An active POS device is connected in the location

Completing the registration

To complete the mandatory POS registration in the Back Office:

  1. From the navigation menu, select Business > Settings.
  2. Under Business Details, scroll down to the POS Registration section. If it is not visible, ensure the three requirements are met.
  3. Click Start POS Registration.
  4. Enter your tax number.

    This form requires the 13-digit unified federal tax number. The format is four digits, followed by a ‘0’, followed by eight digits (e.g., "1234012345678"). Some users may have a 10- or 11-digit version, depending on their location. A BMF conversion tool is provided to generate an equivalent 13-digit version.

  5. Click Continue.
  6. Enter the personal or business information of the entity responsible for taxes.

  7. Click Continue.

    If the Continue button appears gray and inactive, there is a validation error that prevents the user from continuing. Errors can happen when switching from Business to Person and back at this step. Selecting a different Legal form under Business and switching back to the correct one may resolve this.

  8. Enter the business' address, which may not be the same as the location address.

  9. Click Continue.
  10. Add the location name and address where the POS is used.

  12. Enter the information about the cash register system and any associated devices. Some of these fields will be filled in automatically by information already existing in the Back Office.

    For the Acquisition Date, official documents suggest using the date from your contract signing with Lightspeed. Since the Back Office does not have access to that information, it fills in the field with the date of the Business location creation and cannot be changed by the user.

    The First day of usage is filled in by the Back Office with the day the device was first connected to the location and cannot be changed by the user. The first day of usage should also be the day the TSE was initialized, so they are likely to be the same.

    Information about the TSE can be added by clicking the down arrow to expand the available information fields.

  13. Click Continue to perform a validation check. If there are any errors, a message appears indicating any issues.

    If nothing happens when clicking Continue, this is due to a validation error without an error message. Review your information as best you can for mistakes and re-submit the registration request.

  14. (Optional) Click the download icon to save a copy of the submission document to your device.
  15. Check the box that confirms the information you are submitting is accurate.
  16. Click Send. If there are no errors, the submission will be confirmed and a PDF with the confirmation information will be available to download for your records.

  17. Click Close to complete the process.

If you are prevented from proceeding to the next step at any stage, there is a validation error without a message that is blocking the progress. If none of the above tips worked, the current workaround is to Quit and restart the process.

Viewing submission history

You can review the submission history at any time by clicking the View history button. A table of previous submissions is listed with the submission date, submission ID, and download links in PDF or XML formats of the submitted document. Click Close when you are done.

Registering multiple POS devices

Registration is required for all active POS devices within a business location. If you have two or more active devices, you have two options:

  • Connect all active devices, then complete the registration process for all devices in one submission.
  • Connect one device, then complete the registration process for each device, repeating until all devices have been successfully registered.

Managing registrations

You can return to the POS Registration section of the page at any time to see how many devices are registered or still pending.
