Using Lightspeed Tasks in Pulse

Once you have a Lightspeed Pulse device set up in Staff mode, any employee can log in to that device and complete a checklist. This article explains how staff can log in with their PIN, view and complete their assigned checklists, and log out to allow another employee to use the device. It also covers how to exit Staff mode completely to allow managers or owners to access business reporting.

In Staff mode, users can only view and complete checklists that are assigned to their role. They are not granted any Back Office or Pulse functionality.

Logging in with Staff mode

To begin completing checklists, log in to the Lightspeed Pulse app while it is in Staff mode with the same PIN you'd use at the POS.

  1. Select your name from the list of employees.

    If there are a large number of employees, use the search bar to quickly find your name

  2. Tap the first square to open the keypad, then enter your PIN.
  3. Tap Login to access your user page.

On your user page, all pending and completed checklists assigned to you are shown.

Completing a checklist

Once you're logged in to Staff mode, you can complete any checklists that were assigned to you.

  1. On your user page, tap To do to view any pending checklists assigned to you.

    Each checklist displays the name, time it is due, status, and completion information shown as a fraction of completed tasks and percentage complete.

  2. Select a checklist to view and start completing the associated tasks.
  3. Tap any task to begin completing it. 

    Tasks may be completed in any order.

  4. Do the appropriate action to complete the task.
    • Short answer tasks: Enter the required text information.
    • Multiple choice tasks: Select the appropriate choice.
    • Image required tasks: Tap Take photo to open the device's camera. Tap the shutter button to take a photo, then select Upload an image or Retake photo.
    • Counting tasks: Enter the count number and tap Done. If the value is below the par value, a warning will appear.
    • Temperature tasks: Manually enter the temperature and tap Done, or use a thermometer integration. If using an integrated thermometer, insert the thermometer's probe at least 3 mm into the item and press its yellow transfer button to take a reading.
    • Signature required tasks: Present the device to the signing authority. Have them tap Add signature, enter their name, and tap the checkmark to confirm.
  5. (Optional) Enter a comment with any additional information relevant to completing the task.
  6. Tap Complete to complete the task.
  7. Repeat steps 4-6 for each additional task in the checklist.
  8. Once all the tasks are complete, tap Complete to finish the checklist.

Employees can view their own completed checklists by logging in and tapping the Completed tab on the user home page.

Logging out of Staff mode

You can change who is logged in to Lightspeed Pulse by logging out to allow another employee to log in and complete a checklist assigned to them. This is distinct from Exiting Staff mode which returns the device to the Pulse log in screen.

  1. On your user page, tap Log out to return to the login screen.
  2. Select Log out on the prompt to confirm.
  3. From the login screen, another employee can log in to work on checklists.

Exiting Staff mode

If a manager or business owner wants to use your device to view their Lightspeed Pulse business reporting, you can exit Staff mode. This will return the device to its original welcome screen where a Back Office user can log in to the app.

After exiting Staff mode, you will not be able to complete Lightspeed Tasks checklists. Someone with Back Office credentials will need to re-enable Staff mode in order to allow staff to log in and access their tasks.

  1. If necessary, tap Log out to return to the Staff mode login screen.
  2. From the Staff mode login screen, tap Exit.
  3. Select Confirm.
