Using the OpenTable integration

Use the OpenTable Guest Center web app to manage reservations. Check, modify and seat customers on the OpenTable Guest Center web app so the reservations automatically appear in Lightspeed Restaurant POS.

Managing reservations in the OpenTable Guest Center web app

Check, modify, and seat reservations to edit guest information, add or edit notes, and change a reservation into an actual table booking.
When seating a reservation in the OpenTable Guest Center web app, the reservation (open receipt) is automatically added in the Lightspeed Restaurant POS app to the corresponding table, and the guest information, including first name, last name, and email address, is synced to Lightspeed from OpenTable.

There are three ways guests can place reservations: by using the OpenTable app, by calling the restaurant, or by walking in and asking for a table. The workflow in the OpenTable Guest Center web app will differ depending on how a reservation is booked.

Managing reservations made online

After a guest creates a reservation in the OpenTable app, it will appear in the OpenTable Guest Center. Check and modify the reservation to edit guest information and add or edit notes.

  1. Log in to the OpenTable Guest Center web app or OpenTable for Restaurants mobile app with your OpenTable credentials.
  2. Tap the reservation from the Reservations drop-down menu to see the reservation details.
  3. (Optional) Add or edit notes in the VISIT NOTES input field.
  4. (Optional) Tap the customer symbol to add or edit customer information.
  5. Click Assign table.
  6. Select a table from the OpenTable floor plan to pre-assign the reservation to a table.
  7. When the guest comes in, tap the reservation from the Reservations drop-down.
  8. Click the table icon next to the guest name to open the table view and select the pre-assigned table to seat the reservation. When you seat a reservation in OpenTable, it will appear on your Lightspeed Restaurant table layout.
  9. Continue with Managing OpenTable in Lightspeed Restaurant POS to place orders and create a bill.

Managing reservations made by phone

Add a reservation manually when a guest calls into the restaurant and asks to make a reservation.

  1. Log in to the OpenTable Guest Center web app or OpenTable for Restaurants mobile app with your OpenTable credentials.
  2. Click the book button.
  3. Select a date from the calendar.
  4. Select the number of guests.
  5. Choose a time or tap All Day.
  6. Click +Add a referral to create a new guest or search for an existing guest by name or phone.
  7. Tap Make Reservation.
  8. Refer to Managing reservations made online to modify and seat the reservation.
  9. Continue with Managing OpenTable in Lightspeed Restaurant POS to place orders and create a bill.

Managing reservations for Walk-Ins

Seat guests arriving at the restaurant without a reservation as walk-in customers.

  1. Log in to the OpenTable Guest Center web app or OpenTable for Restaurants mobile app with your OpenTable credentials.
  2. Tap the Clipboard button.
  3. Select the number of Guests.
  4. Tap Seat now if a table is available, or select a waiting time from the waitlist if all tables are occupied.
  5. Only for waitlist: Create a profile by entering a name.
  6. Only for waitlist: When a table is available, select the guest from the waitlist and seat them at a table. The reservation will move from Waitlist to Seated.
  7. Continue with Managing OpenTable in Lightspeed Restaurant POS to place orders and create a bill.

 

Managing OpenTable in Lightspeed Restaurant POS

After seating a reservation in the OpenTable Guest Center, the table will be displayed as occupied in Lightspeed Restaurant POS and a receipt will be opened. Add items to that table and apply a payment in Lightspeed Restaurant POS. When adding items or creating the bill in the Restaurant POS app, the receipt data will be sent to OpenTable in real-time.

  1. Log in to the Lightspeed Restaurant POS app.
  2. Select the table where the reservation is seated in the Tables view to open and view the order.
  3. Tap Select and add items to the order.
  4. Apply a payment once the guest is ready to pay.

When switching back to the OpenTable Guest Center, the table status has changed to paid and the itemized receipt is shown when selecting the table. The guest can also view the receipt from the OpenTable app in their reservation history.
