Managing notes

Create notes in the Back Office so staff can quickly apply them to orders, courses, and seats in the Restaurant POS app during service. In the Back Office, you can add, edit, delete, and reorder notes to control which notes staff sees and in what order they appear. In the Restaurant POS app, staff can also add custom notes when they need instructions that aren’t covered by pre-created notes. All notes appear on the KDS and printed order dockets.  For pre-created notes, you can toggle off this print setting in the Back Office.

Adding notes

  1. Log in to the Back Office with your Lightspeed credentials.
  2. From the navigation menu, go to Production instructions.
  3. From the Add dropdown menu, select Note. A panel opens on the right where you can manage notes.
  4. Click Add and enter a name in the field. Repeat to add more notes.
  5. Click Save. The panel closes, and new notes are added to the list under Notes.
  6. Configure Show on order ticket
    • When toggled on, the note prints on the order ticket when you assign it to an order, course, or seat. 
    • When toggled off, the note doesn’t print.

Editing notes

If you need to change a note after you’ve created it, you can access the note in the Back Office and edit it as needed.

  1. Log in to the Back Office with your Lightspeed credentials.
  2. From the navigation menu, go to Production instructions.
  3. Click the note you want to edit. A panel opens on the right where you can manage notes.
  4. Make the desired changes to the note name.
  5. Click Save. The panel closes, and notes are updated in the list under Notes.
  6. Make the desired changes to the Show on order ticket setting. Refer to the above for a description of the setting.

Deleting notes

If you no longer need a note, you can delete it to remove it from the Restaurant POS app and prevent it from printing on order tickets. 

Deleting a note can’t be undone.

  1. Log in to the Back Office with your Lightspeed credentials.
  2. From the navigation menu, go to Production instructions.
  3. Click the note you want to delete. A panel opens on the right where you can manage notes.
  4. Click the trash icon (Delete) to the right of the note you want to remove.
  5. Click Save. The panel closes, and notes are deleted from the list under Notes.

Reordering notes

To change the order that notes appear in the Restaurant POS app, reorder them in the Back Office.

  1. Log in to the Back Office with your Lightspeed credentials.
  2. From the navigation menu, go to Production instructions.
  3. Click a note you want to reorder. A panel opens on the right where you can manage notes.
  4. Drag and drop notes into the order you want.
  5. Click Save. The panel closes, and notes are deleted from the list under Notes.
