Lightspeed Payments is the simplest way to integrate your payment processing with Lightspeed Restaurant K Series and to accept credit and debit card payments in your restaurant. Since Lightspeed Payments lives within Lightspeed Restaurant, this enables you to both run your business and manage your transactions all in one seamless Lightspeed experience.
First steps with Lightspeed Payments
Once your application is approved, you will be contacted via email with your next steps. In addition to communication from Lightspeed, you can also expect an email from our partner, Viking Cloud. This email from Viking Cloud is to provide you with an option to become PCI compliant through us (via Viking Cloud). It is completely free of charge for all Lightspeed Payments users.
Customizing the Lightspeed Payments payment method
These settings affect how Lightspeed Payments behaves across all locations and POS configurations. Some of these settings, such as tipping, can be enabled at the payment type level, then disabled on specific POS configurations, allowing you to fully customize your Lightspeed Payments experience.
To view and edit your payment settings:
- From the Back Office, navigate to Configuration > Settings > Payment methods.
- Locate the Lightspeed Payments payment method and click Manage.
- Enter your preferred settings for the Lightspeed Payments payment method. These settings include payment authorization and capture methods, tipping and refund options, receipt customization, and surcharging.
- Click Save.
Understanding your payment settings
These settings affect how Lightspeed Payments behaves across all locations and POS configurations. Here you can edit how Lightspeed Payments handles tips, refunds, and other basic payment options.

Payment processing: Depending on your location, you may be able to change when your payments are captured each day. This setting applies to all POS configurations and locations. Selecting Standard or Pre-authorized or batch will impact your deposit schedule.
- Standard: Card payments are authorized and captured immediately.
- Pre-authorized or batch: (AU, UK, and US only): Payments are authorized instantly but are not captured until 5:29 AM (local time) the following morning.
- Allow tipping: Enabling this allows customers to add a tip when paying for their order through Lightspeed Payments.
- Deduct percentage from tips: Tips paid using this payment method will have a percentage automatically subtracted from the total.

Bar tabs: When opening a bar tab, you can pre-authorize a customer’s credit or debit card to verify their bank account and hold a minimum amount of funds by inserting the card into an integrated payment terminal.
Bar tabs are only available when using the Pre-authorized or batch payment authorization method.
Customizing receipt options
For certain payment terminals, such as the Smart Terminal with Printer, you can customize the logo printed on your credit card receipts.
To upload a receipt logo:
- From the Back Office, navigate to Configuration > Settings > Payment methods.
- Locate the Lightspeed Payments payment method and click Manage.
- Locate the Terminal payment method and click Edit.
- Under Receipt options, click More information.
- Upload your image and crop accordingly.
- Images must be a JPEG or PNG file.
- Images must be black-and-white; color images will be converted to grayscale.
- Images should be at least 240 x 384 pixels.
- Click Save.
- Restart your payment terminal to update your receipt settings.
Customizing additional settings
You can edit your settings to change how payments taken via your payment terminal, mobile tap, and Tap to pay on iPhone by navigating to the relevant payment method in the Back Office.
- Navigate to Settings > Payment Methods.
- Locate the Lightspeed Payments payment method, then click Manage.
- Navigate to the Terminal, Mobile Tap or Tap to Pay for iPhone option, then click Edit.
- Make your desired changes, then click Save.
- Reload your POS configuration and restart your payment terminals to finalize these changes in your account.
The availability of some of these settings may vary depending on the payment method.
- Name: The name of the payment method as it is displayed on the POS and on the consumer receipt.
- Accounting reference: This code is used for integrating with third-party accounting integrations.
- Include in floats: When enabled, this payment method is included in float counts.
- Initiate payment via QR code: Allow customers to pay for transactions using this payment method by scanning a QR code (even if the payment method has been disabled on the POS).
- Open cash drawer: When enabled, the cash drawer will open when this payment type is selected.
Understanding surcharging options
You may choose to offset your credit card processing fees by transferring a portion of the cost to your customer through a credit card surcharge. Credit card surcharges are an additional fee applied to any transaction paid with a credit card at the time of sale. These fees are typically a percentage of the total bill added as a separate line item.
Customizing POS configuration options with Lightspeed Payments
POS configurations can be understood as a collection of settings that are controlled from the Back Office and applied to your POS devices.
In general, your POS Configuration will cover a wide variety of settings, not just how payments are received. Configuration settings include order settings, how tables are managed, printing options, user settings and more.
For Lightspeed Payments, there are a few select payment settings that alter how Lightspeed Payments processes sales, including signature capture and tip management. To manage these settings, you will need to navigate to the Configuration page in Lightspeed Restaurant. View our article on Managing and Understanding POS configurations for more information.
Going live with your new settings
After you make changes to your payment settings, you will need to push those settings to your POS device and payment terminal.
Reloading the POS configuration
Reloading your POS devices is necessary to apply any updates made in the Back Office. From the Back Office, you can reload multiple POS devices at the same time. Optionally, you can reload your configuration directly from your POS device.

Reloading from the Back Office
- From the Back Office, navigate to Devices > Devices.
- Select the checkbox next to each POS device you want to reload.
A checkbox will only appear if your settings have been recently updated.
- Click Reconfigure selected devices.
- The status of the device(s) will change to Remote reload requested until the reload has been processed at the POS. When it’s complete, the status will change to OK.
The remote reload will be completed automatically the next time a manager logs in to the POS. Optionally, if a user is already logged in to the POS, they can manually update the device from the Settings menu.

Reloading from the POS
If you are already logged into a POS device, you can refresh your configuration directly from your status bar.
- Log into the POS as a user with the manager permission.
- From the POS, tap the status menu in the lower right of the POS.
- Tap the refresh icon.
- Tap Yes to restart the app with the new configuration settings.
Pushing setting updates to your terminal
If you already have your payment terminals paired to your account, a manual update of your payment terminal is required after you make changes to your Lightspeed Payments settings.

Smart Terminals (with/without) Printer
- On the terminal touchscreen, press Settings.
- Tap Config and enter the following PIN: 5773.
- Tap Update.
- The terminal will automatically restart and update its settings. This process may take several minutes.

Verifone e285, V400, and P400+
- Press the 9 key, followed by the green circle key on the terminal's number pad.
- Enter the following PIN: 5773.
- On the touch screen, tap Config.
- Tap Update.
- The terminal will automatically restart and update its settings. This process may take several minutes.
