Managing POS users

Once a POS user has been created, you can manage that user’s account from the Back Office. This includes editing or archiving their profile, auditing their performance, resetting their PIN, or duplicating user accounts. You can also edit which business locations a user has access to by removing or adding business locations to their user profile.

Editing a POS user

By editing POS users you can make some further adjustments, such as changing their permissions or username.

  1. Log in to the Back Office with your Lightspeed Restaurant account credentials.
  2. From the main navigation menu, select Configuration > Users > POS users.
  3. Select Configure.
  4. Change the user details as needed.
  5. Click Update.

Assigning users to a POS configuration

You can assign POS users to a POS configuration so that the configuration is only visible to those specific users. This function is helpful if certain users only work in certain parts of a business or with specific menus.

  1. Log in to the Back Office with your Lightspeed Restaurant account credentials.
  2. From the navigation menu, select Configuration > Configurations.

  3. In the Configuration name column, click the name of the configuration you would like to edit.
  4. Select the POS user settings tab.
  5. In the POS user rules section, select the users you would like to allow within this configuration.

  6. Click Save to save your changes.

Assigning and resetting a user’s PIN

POS users with a PIN code assigned must enter their 4-digit code in the Lightspeed Restaurant POS app to clock in or out and to access the app. PINs can be assigned or reset from the Back Office.

  1. Log in to the Back Office with your Lightspeed Restaurant account credentials.
  2. From the main navigation menu, select Configuration > Users > POS users.
  3. Select Configure.
  4. Click Change pin code.

  5. Enter the new PIN.
  6. Click OK to save changes.

Generating a QR code

POS users with a QR code assigned must scan their unique QR code to clock in or out and to access the app. QR codes can be generated and downloaded from the Back Office.

  1. Log in to the Back Office with your Lightspeed Restaurant account credentials.
  2. From the main navigation menu, select Configuration > Users > POS users.
  3. Select Configure.
  4. Click Enable QR code login.

  5. Click the download icon under the QR code to print or save it.

Auditing a POS user

The audit journal displays a record of all user sales during a period, which can be saved to your computer and printed for documentation purposes.

  1. Log in to the Back Office with your Lightspeed Restaurant account credentials.
  2. From the main navigation menu, select Configuration > Users > POS users.
  3. From the POS user page, select the dropdown arrow next to the Configure button.

  4. Select Audit. The record for user sales will display.

  5. (Optional) Filter the results by date or event type.
  6. (Optional) Select Save to text to save the given data into a text form and save on your computer.

Duplicating POS users

If you want some POS users to have similar user profiles, then you can simply duplicate an existing user and then customize the newly-created user afterwards. This way you don't have to create a completely new user, you just make a few changes to the duplicated user.

  1. Log in to the Back Office with your Lightspeed Restaurant account credentials.
  2. From the main navigation menu, select Configuration > Users > POS users.
  3. From the POS user page, select the dropdown arrow next to the Configure button.

  4. Select Duplicate.
  5. Confirm that you want to duplicate the user by clicking Ok.

A new user will be created with the same user permissions as the original user.

Editing business location for POS users

You can manage which business locations POS users have access to from the POS user section in the Back Office. By default, POS users only have access to the location they were initially created in, but can be given access to other business locations by editing their user permissions.

  1. Log in to the Back Office with your Lightspeed Restaurant account credentials.
  2. From the main navigation menu, select Configuration > Users > POS users.
  3. Uncheck the Only show users from this business location checkbox to see users from all business locations you have access to.
  4. From the POS user page, select the dropdown arrow next to the Configure button.

  5. Select Edit business locations.
  6. Edit the user’s access as desired.
    Note: The user must have access to at least one location.
  7. Click Back to save your changes and return to the POS user page.

Archiving POS users

If an employee or former employee no longer needs access to the POS, you can deactivate their account via the Back Office. The POS user will no longer be able to log in to the POS once their account is deactivated.

  1. Log in to the Back Office with your Lightspeed Restaurant account credentials.
  2. From the main navigation menu, select Configuration > Users > POS users.
  3. From the POS user page, select the user you wish to deactivate.
  4. Click the word Yes in the active status column.

  6. If you wish to make users active again, repeat the steps and select yes from the drop-down menu.
