Navigating the Restaurant POS app

This article details how to get around the Lightspeed Restaurant K-Series POS app and access its most common functions.

Logging in to the POS

Before anyone has logged in, the POS displays various details about the POS, its configuration, and a Clock in/out button. For employees to be able to log in to the POS, a manager must be the first user to log in and open a sales period. Tap Clock in/out to open the login screen, then tap the name of the user logging in.

When a manager logs in to open the sales period, they can add various details about the day such as Impression, Weather, and any additional Notes that may be relevant. Then, if applicable, they can start their shift.

Other employees may not clock in until the sales period is open. The POS can be configured in the Back Office to require a PIN code or a QR code (or neither) for employees to clock in for their shift. 

Using the POS app 

Once the sales period is open, the iPad's main page displays the Dashboard screen which shows: 

  • all active users (can be sorted by name or shift duration using the az and clock icons).
  • a Clock in/out button for people starting or ending their shift.
  • a button to View the floor plan and current seating.
  • a button to Scan QR code for an employee clocking in or out.

On iPhone, the Dashboard screen shows the same information except the Clock in/out button is an icon in the top right.

Tapping on any of the active users will open the default landing screen. On the iPad and iPhone, the default landing screen can be set in the Back Office to be the Register screen, the Floor plan screen, or the Orders screen. On iPad, the other screens with the navigation bar are Customers and Receipts

There is also an information window that is accessible by tapping About (iPad) or (iPhone) which displays basic information about the POS.

Exploring the navigation bar

Once logged in, the navigation bar allows users to efficiently take orders, seat guests, and quickly take stock of the status of the restaurant.

On iPad, the navigation bar is located at the top of the screen and offers multiple options.

  • Log out: Users can end their shift and managers can end a sales period by logging out.
  • Network icon: Access the status of the network connection, device, printers, and online orders.
  • Settings: Open the sidebar to access all of the settings options for the POS.
  • Floor plan: Get a live view of your tables and seating.
  • Orders: View a list of all open orders and their status.
  • Customers: View a list of all customers for this sales period.
  • Receipts: View a list of all receipts for this sales period.

On iPhone, the Log out and Network icons are at the top of the screen. The navigation bar is located at the bottom of the screen and offers multiple options. 

  • Floor plan: Get a live view of your tables and seating.
  • Orders: View a list of all open orders and their status.
  • Settings: Open the sidebar to access the Customers and Receipts screens as well as all of the Settings options for the POS.

Logging out of the POS

Users can log out of the POS to end their shift. They may also close the sales period if they are managers.

If any orders associated with the logging out user remain open, they must be closed or transferred to another user before the logging out user is allowed to clock out.

On iPad:

  1. From the Register screen, tap Close to return to a screen with the navigation bar. 
  2. Tap Log out.
  3. Tap Clock in/out
  4. Select the user logging out under the Clock out heading. A PIN or QR code may be required to log out.
  5. (Optional) Declare a tip amount and tap Done. Or tap Skip if there's none to declare.
  6. (Optional) Print a summary report for the shift.

On iPhone:

  1. From the Dashboard screen, tap the Clock in/out icon in the top right.
  2. Tap Clock out.
  3. Select the user logging out. A PIN or QR code may be required to log out.
  4. Tap Yes when asked End user shift?
  5. (Optional) Declare a tip amount and tap Done. Or tap Skip if there's none to declare.
  6. (Optional) Print a summary report for the shift.

If a manager is logging out and there are no other users clocked in and no open orders, the POS will ask if the sales period should be closed. The manager can rate their impression of the period, note the weather at closing, and leave additional notes.
