The Back Office Lightspeed AI agent pulls sales data from reports in the Back Office and presents it in an easy-to-read format, including charts and graphs. It can also provide answers to support questions by searching the Lightspeed Help Center and give information about Lightspeed add-ons like the Lightspeed Pulse app and Lightspeed Tasks.
Type your question into the text box or choose from buttons displaying common queries. Use the Lightspeed AI agent to quickly find the information you need, plan your sales strategy, and explore possible reasons behind increasing or declining sales.
Accessing the Lightspeed AI agent
To give a user access to the AI agent, you will need to enable permissions in the Back Office. For users to have access to the AI agent for general use, such as support questions, enable the permission AI access. For users to ask questions about sales data, you will also need to enable the permission Sales report access.
- Log in to the Back Office with your Lightspeed Restaurant credentials.
- From the navigation menu, select Business > Back Office users.
- Click the name of the user you want to have access to the AI agent.
- Scroll down to Permissions and check Sales report access and AI access.
- Click Save.
Once the user has the correct permissions, the Lightspeed AI agent can be accessed on any page by clicking the Lightspeed AI icon in the top right corner.
Using the Lightspeed AI agent
The Lightspeed AI agent pulls sales data from reports in the Back Office and information from the Lightspeed Help Center in response to questions asked in the chat. It can also follow up on queries and follow special instructions, and you can view the history of your chats.
Chat
Ask the Lightspeed AI agent questions about your restaurant data, areas of the Back Office you need support with, or Lightspeed add-ons using natural language, or choose from suggestion buttons displaying common queries. For example, you could ask the Lightspeed AI agent to find your best performing and worst performing ten items from the previous week, or how to create a menu.
The AI agent will ask follow-up questions to help you find the exact data you need. Choose from one of its suggestions to respond, or ask a related question. For example, the AI agent may ask if you want to compare this week's data to last week's.
History
View your history with the Lightspeed AI agent by clicking View history on the Home page, or by clicking the clock icon in the chat pop-up window.
The History tab displays the question asked and the date and time of the agent's last response. Click the right-facing arrow to view the chat itself. You can continue with this chat by entering a question in the chat box or by clicking one of the suggestion buttons.
Settings
In the Settings tab, you can enter custom instructions for the AI Lightspeed agent to use when answering questions. For example, you can specify the terminology you want the AI to use, or instruct it to always include gross and net sales.
- Click Lightspeed AI to open the chat pop-up window.
- Click the gear wheel icon.
- Toggle on Enable Custom Instructions.
- Enter your custom instructions in the text box.
- Click Save.
Exporting and sharing AI insights
Lightspeed AI lets you export business insights to collaborate with your team or share them with stakeholders. You can download AI-generated tables as CSV files for further analysis or export full or partial conversations as PDFs.
Downloading an insight as a CSV file
- Ask Lightspeed AI a question that returns a table. For example, ask, “Show me my top-selling items from last week.”
- Under the table, click the Download as CSV icon.
The CSV file downloads to your device.
Exporting an answer as a PDF
- Ask Lightspeed AI a question.
- At the bottom of the answer, click the download icon (Export as PDF). The PDF opens in a new tab.
- (Optional) Select Show question and Add previous answer to include more context.
- Click Save as PDF.
The PDF file downloads to your device.
Using custom charts with the Lightspeed AI agent
The Lightspeed AI agent can generate custom charts that display how your business is operating. Ask Lightspeed AI for the statistics or data you want displayed and a time frame, and it will generate a chart for you. These charts are useful tools for getting more context and visualizing your business operations. Any generated chart can be saved to your Back Office dashboard where they update live and automatically.
Generating custom charts
You can ask the Lightspeed AI agent to generate a chart by clicking Lightspeed AI. In the Ask anything... text box, enter the information you want, including the date or time range if applicable, and the AI agent will generate a chart for you from your sales and operational data. For example, you can ask: "Show me the revenue distribution by hour over the last week." After some processing, the chart appears in the chat window. Lightspeed AI can adjust the graphic as needed by giving it the appropriate instructions.
Adding custom charts to your dashboard
After you've generated the chart, click Save chart to dashboard to add the graphic to your Dashboard. The chart will be labeled AI generated to remind you where it originated and is automatically updated by the Back Office.
Removing custom charts from your dashboard
Click the three dots (...) on the graph you wish to remove, then click Delete. The chart is now removed from your dashboard.

- The AI agent supports multiple languages, including English, French, Dutch, German, and Spanish. Ask the AI agent questions in your preferred language.
- Yes, you can view previous conversations with the AI agent by clicking View History on the Home page, or the clock icon in the AI chat box.
- Yes, you can ask as many questions as you need to by continuing to type your questions into the chat box. More detailed questions will enable the AI agent to return more specific data.
- The AI agent does not currently pull data from Order Anywhere but this feature is in development.
- Use natural language to ask the AI agent your question. Try rewording your request if the AI agent isn't returning the correct data, or use one of the suggestions.
- Users must have the permission AI access enabled to use the AI agent. To ask questions about sales data, the user must also have the permission Sales report access enabled.
