In Spain, fiscalization is an essential part of tax monitoring, designed to reduce fraud. To comply with Spain’s legal requirements, companies must ensure that their invoicing and transaction records are digitally certified. Financial data from your POS is sent to the tax authority to ensure the validity of all transactions and prevent the manipulation or tampering of financial reports.
To meet these fiscal compliance requirements in Spain, Lightspeed Restaurant is partnered with efsta. Efsta uses your invoice data to generate a file that is then digitally signed and sent to the relevant tax authority. At the same time, you receive the provincial administration details, including an identifier, QR code, and URL for each invoice. All transactions, refunds, and voids are recorded and sent to efsta to be authenticated and signed.
Applying for your digital certificate
By law, all receipts have to be digitally signed to prove their authenticity. To electronically sign these receipts, you must upload a valid digital certificate to the Lightspeed Back Office. This certificate is issued over your fiscal authority's online system.
Depending on your region, you will require a digital certificate for your business as a whole, or per active POS device. These certificates have an expiration date, so it is important to ensure that your certificate is kept up to date.
Spain, Canary Islands, and Balearic Islands
Veri*Factu is part of Spain’s invoicing software regulation (RRSIF) and applies to mainland Spain, Canary Islands, and Balearic Islands. To comply with the legal stipulations set forth, Lightspeed:
- Generates a billing record when a transaction is completed.
- Uses security controls to record when omissions or edits have been made.
- Includes a scannable QR code on all generated invoices and receipts.
- Ensures integrity, traceability, inalterability, conservation, accessibility, and legibility of records.
- Sends all records to the AEAT.
Veri*Factu digital certificates must be uploaded for the business as a whole.
There are several entities authorized to issue digital certificates, known as Trust Service Providers. Some of the most commonly used are:
Araba, Bizkaia, and Gipuzkoa
TicketBAI is managed by the tax authorities in the Basque Country provinces of Araba, Bizkaia, and Gipuzkoa. To comply with the legal stipulations set forth, Lightspeed:
- Generates structured invoice data for each transaction.
- Applies required security/signature controls and sequence traceability.
- Prints or displays all required TicketBAI identifiers and QR codes on invoices and receipts.
- Uses required certificates/device information according to provincial procedures.
- Sends all records to the corresponding tax authority.
- Keeps records for the legally required retention period.
TicketBAI digital certificates must be uploaded for each active POS device.

Uploading your digital certificate
The steps to register your account will vary depending on your region and certificate type.

Spain, Canary Islands, and Balearic Islands
To complete the mandatory registration in the Back Office:
- From the navigation menu, select Business > Settings.

Scroll down to the Fiscal details section.
- Enter or confirm your Tax ID number. The Tax ID here must match the Tax ID associated with your certificate.
- Click Upload certificate.

Drag and drop your certificate and enter the certificate password.
- Click Upload.
Once you have uploaded your certificate, you can review its status, including the expiration date, in the Fiscal details section.

Araba, Bizkaia, and Gipuzkoa
For TicketBAI users, you will need to register each active POS device.
To complete the mandatory registration in the Back Office:
- From the navigation menu, select Business > Settings.

Scroll down to the Fiscal details section.
- Enter or confirm your Tax ID number. The Tax ID here must match the Tax ID associated with your certificate.

Click Upload certificate next to the POS device the certificate is for.
If you have already set up a single POS device, the certificate will be automatically assigned to that device.

Drag and drop your certificate and enter the certificate password.
- Click Upload.

Repeat these steps each time you add a new active POS device.
Once you have uploaded your certificate, you can review its status, including the expiration date, in the Fiscal details section.
