Sharing menus with business locations

Quickly share menus with your other business locations instead of importing or manually recreating a menu for each location. Once shared, menus can only be edited and updated from the business location where they were initially created.

The three-dot menu (•••) is a quick-access menu for performing actions such as reloading devices, editing menus, importing and exporting menus, sharing menus with other business locations, duplicating menus, and deleting menus.

Sharing items

Before sharing menus, you must set the menu items at the original location to Shared. If items in the Back Office are already shared, move on to Sharing a menu with a business location.

  1. Log in to the Back Office with your Lightspeed Restaurant credentials.
  2. Navigate to Menu management > Items.
  3. Edit the items table to add the Sharing status column.
  4. Click Local in the Sharing status column.

  5. From the window that opens, set the item to one of the following:
    • Local: Item is available at this business location only.
    • Shared: Item name is shared with other business locations. Item details (e.g., price) can be changed per location.
    • Global: Item name and details (e.g., price) are shared with other business locations.
  6. Click Change.

    Once an item's status has been changed, it cannot be changed back to what it was before. Additionally, only Local items can be changed to Shared, and only Shared items can be changed to Global. To update a Local item to Global, change it to Shared first and then change it to Global.

  7. Click Confirm status change.

Sharing menus

Before you can share a menu with a business location, menu items at the original location must be set to Shared. Check that the Back Office settings of the destined location don't conflict with the menu that's being shared. This includes ensuring that the menu items' names don't already exist and that web extensions are already created at the destined location.

  1. Log in to the Back Office with your Lightspeed Restaurant credentials.
  2. Navigate to Menu management > Menus.
  3. Click the three-dot menu (•••).
  4. Select Share with a location from the drop-down menu.Menu instances used to share location
  5. Select a location from the drop-down menu.
  6. Click Share.

  7. Wait for Back Office response:
    1. Successful sharing of the menu: The Shared status switches from Local to Shared.
    2. Unsuccessful sharing of the menu: Check the displayed list of steps to take before sharing a menu and perform the What to do next steps.

  8. (Optional) If you update a shared menu, choose from the following options to share the menu updates with other locations:
    1. Click ••• and select Update menu to share the menu update with other locations.
    2. Click ••• and select Update menu and reload all devices to share the menu update with other locations and push it to all connected devices at the same time.
