With an integrated property management system (PMS), orders placed in Lightspeed Restaurant can be charged to a guest’s room and automatically posted to your PMS.
The PMS Postings report in Back Office provides a record of these transactions, allowing you to track what has been posted to your PMS and verify room charges. This article covers how PMS postings work, how to access the report, and how to filter and interpret the data.
How PMS postings work
Orders processed in Lightspeed Restaurant are sent to your property management system (PMS) when paid using a Charge to room payment method. During checkout at the POS, you'll be prompted to select a guest's room from your PMS to apply the charge.
When the transaction is completed at the POS, the order is immediately closed in Lightspeed Restaurant. If it posts successfully to your PMS, no further action is needed. If it fails to post to your PMS, you'll receive a message on your POS. You can also check the PMS Postings report to identify any issues and follow up as needed.
There are two types of PMS postings:
- Room charges: Transactions where an order is charged to a guest's room, as described above.
- Full-revenue postings: Depending on your PMS integration and settings, all transactions may be sent to the PMS for accounting purposes, even if not charged to a room.
Accessing the report
Access the PMS Postings report from your Lightspeed Restaurant Back Office to track the transactions sent to your property management system (PMS).
- Log in to the Back Office with your Lightspeed credentials.
Note: Only the business owner and Back Office users with the [BO-WRITE] permission can access the PMS Postings report.
- From the navigation menu, select Integration Activity > PMS Postings.
- Click the clock icon to choose a date range, then select Apply.
Filtering the report
The PMS Postings report includes all transactions within the selected date range, but you can filter the results to find specific data.
- Search by guest name: Enter a guest's first and/or last name to display only their PMS transactions.
- Show unsuccessful postings only: Enable to show only transactions that were not processed by the PMS.
- Show only room charges: Enable to show only transactions charged directly to a guest's room. Leave disabled to include all revenue recorded in the PMS, such as full-revenue postings.
Reading the report
This section explains how to read the PMS Posting report, interpret different statuses, and access additional details related to your postings.
Transaction table
The PMS Postings report displays details of transactions sent to the PMS, including guest and room information, receipt, posting status, and date.
- Guest: Name of the guest associated with the transaction. For full-revenue postings, these may be blank or use a placeholder.
- Room: Room number of the guest associated with the transaction.
- Receipt: Reference number used to locate the POS receipt in Lightspeed Restaurant.

Status: Indicates whether a transaction has posted to your PMS. The most common statuses are:
- Success: Transaction posted to the PMS.
- Unsuccessful: Transaction was unable to post due to an issue. If your PMS server is located on-site, it may still have processed the transaction but the POS didn't receive confirmation.
- Config issue: Transaction was unable to post due to a misconfiguration in the Back Office, such as invalid mapping of POS fields to the PMS.
- Room charge: A checkmark indicates the transaction was closed via the PMS with no other payment methods used.
- Date: Date and time the transaction was closed on the POS.
Unsuccessful postings must be reconciled manually through your PMS software.
Additional details
Click a transaction on the PMS Postings report to view technical details, such as the request type and response code. This information is only available for cloud-based PMS integrations.
